Request deletion of your data.

You can ask us to delete the data we hold about you. The path depends on whether you are a customer (account holder) or an end user (someone who messaged a Ziv-powered WhatsApp number).

If you are a customer (account holder)

If you have a Ziv account for your business, religious organization, or construction company, you can request full deletion of your account and all associated data.

How to request:

  1. Email privacy@myziv.ai from the email address on file with your account.
  2. Subject line: “Account deletion request”.
  3. Include your organization name and the WhatsApp number associated with the account.

We will confirm receipt within 2 business days and complete deletion within 30 calendar days, subject to the retention exceptions described below.

If you are an end user

If you sent messages to a WhatsApp number powered by Ziv (for example, you texted your rabbi's assistant or your contractor's assistant) and you want your data removed, you have two options:

Option A — Ask the business directly (preferred).

The business that operates the Ziv-powered number is the data controller for your messages. Contact them and ask them to delete your contact and message history. They can do this immediately from inside Ziv. We will support them with any technical assistance they need.

Option B — Contact us directly.

If you cannot reach the business or prefer to contact us, email privacy@myziv.ai from any address with the following:

  • Subject line: “End user data deletion request”.
  • The phone number you used to message the business.
  • The name of the business or the Ziv WhatsApp number you contacted (if you have it).
  • Your country of residence (so we apply the correct privacy law).

We will verify your identity (typically by replying to a one-time code we send to your WhatsApp number) and forward the request to the relevant business with a 30-day response deadline. If the business does not respond, we will remove your data from our systems directly.

What gets deleted

For customer accounts:

  • Your account profile and login.
  • Your organization's data: contacts, message history, transcripts, audit logs, configuration, profile observations, world model.
  • OAuth tokens and credentials for connected tools (Zoho, Google, Meta).
  • Backups, after the 7-day rolling retention window expires.

For end users:

  • Your contact record (name, phone number, language preference, notes).
  • The full message history between you and the Ziv-powered number.
  • Any voice notes, photos, or documents you sent.
  • Any AI-generated transcripts of your voice notes.

What may be retained

We may retain a limited amount of data when required by law or for the following narrow purposes:

  • Legal and tax records. Invoices, payment records, and similar financial documents may be retained for up to 7 years to comply with tax and accounting law.
  • Anti-abuse and fraud signals. If your account or number was associated with a confirmed abuse incident, we may retain a hashed identifier to prevent re-registration.
  • Backup expiry. Daily backups roll off after 7 days. If you delete your account today, residual data may exist in encrypted backups for up to 7 more days before being permanently overwritten.
  • Security and audit logs. Security-relevant logs (login attempts, IP addresses) may be retained for up to 12 months.

None of this retained data will be used for marketing, AI training, or any purpose other than the legal/safety reason above.

Timeline

  • Within 2 business days: we acknowledge your request.
  • Within 30 calendar days: we complete deletion across our active production systems.
  • Within 37 calendar days: deletion propagates fully through our backups (7-day backup retention rolls off).

In rare cases (e.g., a complex multi-org situation, a verification issue), we may extend the response time by 30 days. We will tell you in writing if this is necessary.

What we cannot delete on your behalf

Some data lives outside our system, and you must request deletion from the relevant operator yourself:

  • WhatsApp message history on your phone or in Meta's systems. We can delete our copy, but messages saved on your phone or in Meta's WhatsApp servers are governed by WhatsApp's privacy policy.
  • Records in your customer's connected tools. If a customer used Ziv to create an invoice or calendar event for you in their Zoho or Google account, those records live in the customer's third-party tool and the customer controls them.

Verification

To prevent malicious deletion requests, we verify identity before proceeding:

  • Customers: we require the request to come from the email address on file. If you no longer have access to that address, we may request additional proof of identity.
  • End users: we send a one-time verification code to the WhatsApp number named in the request. Replying with the code confirms control of the number.

Confirmation

Once deletion is complete, we send you a written confirmation by email with the date deletion was performed and a summary of what was removed.
